POWER ACUPUNCTURE LLC Cancellation Policy
At POWER ACUPUNCTURE LLC, appointment times are reserved specifically for each patient in order to provide attentive, personalized care and sufficient preparation time.
We kindly ask all patients to review and respect the following appointment policies.
1. Appointment Reservations
Scheduled appointments reserve dedicated treatment time specifically for you.
To help us provide timely care for all patients, we ask that patients arrive on time and notify us as early as possible regarding scheduling changes.
2. Cancellation Notice
Patients are strongly encouraged to provide at least 24 hours notice when canceling or rescheduling appointments whenever possible.
Advance notice allows us to offer appointment times to other patients seeking care.
Appointments may be canceled or rescheduled through:
- Jane App
- Phone
3. No-Show Policy
Patients who miss appointments without notice (“no-shows”) may be charged a $50 no-show fee.
This fee may be charged to:
- A card securely stored on file through Jane App
- Another payment method provided by the patient
Repeated no-shows may result in limited future scheduling availability.
4. Late Cancellations
At this time, POWER ACUPUNCTURE LLC does not charge a separate late cancellation fee.
However, frequent last-minute cancellations may affect future appointment scheduling privileges.
5. Late Arrivals
Patients arriving late may receive shortened treatment time depending on the clinic schedule.
In some cases, appointments may need to be rescheduled to avoid delays for other patients.
Full appointment fees may still apply for significantly shortened visits caused by late arrival.
6. Financial Policy
POWER ACUPUNCTURE LLC provides limited credential insurance.
Payment is expected at the time services are rendered unless otherwise arranged.
We may provide itemized superbills for patients seeking possible out-of-network reimbursement; however, reimbursement is not guaranteed.
Patients are responsible for:
- Maintaining valid payment information
- Updating expired payment methods
- Paying outstanding balances
- Paying applicable no-show fees
7. Card-on-File Policy
For scheduling convenience and enforcement of clinic policies, patients may be required to maintain a valid credit card securely stored through the HIPAA-compliant Jane App system.
Payment information is encrypted and securely processed through Stripe.
Clinic staff do not have direct access to complete credit card details.
8. Treatment Packages & Refund Policy
Pre-paid treatment packages:
- Expire 6 months from the date of purchase
- Are generally non-refundable except where required by law or approved medical exceptions
- May be converted to clinic credit at the discretion of POWER ACUPUNCTURE LLC
9. Emergencies & Unexpected Circumstances
We understand that emergencies, illness, weather conditions, or unexpected situations may occasionally occur.
Exceptions to cancellation fees may be considered at the discretion of POWER ACUPUNCTURE LLC.
10. Appointment Reminders
Appointment reminders may be sent through:
- Jane App
- Phone call
- Text message
Receiving a reminder is a courtesy and not guaranteed.
Patients remain responsible for tracking their scheduled appointments.
11. Respect for Reserved Appointment Times
Missed appointments impact other patients who may be waiting for care.
We appreciate your understanding, cooperation, and respect for reserved treatment times.
